How to Find the Perfect Wedding Planner for You (Questions to Ask Before Hiring)

Do you go out & find the perfect wedding planning binder? Do you join all your local Facebook planning groups? Do you jump on reddit for all the blogs & advice? Or do you get all your besties together for spicy margs, wedding magazines & start brainstorming?

 Regardless of how you tackle wedding planning, you’ll soon discover that it can feel like a minefield. It very quickly becomes information overload & you might even decide to stop planning such a huge event & elope to save yourself the time & stress.

Working with a wedding planner in New Zealand & Australia is no longer the luxury service that it once was. It is now so much more accessible & affordable, with different levels of offerings to suit each couple & what they’re comfortable spending.

Some couples may only need partial wedding planning support or a ‘one-off consultation’. Other couples might want someone to guide them through the whole journey, because they’re time-poor but they still know what they want their wedding day to look & feel like. Regardless of your needs there is the level of support available. You just have to find your perfect wedding planner that is on the same page & gets your vision. 

We’ve put together the perfect list of questions to ask a wedding planner before you hire them.

You obviously have all your basic boring interview questions here…

  • Have you worked at our chosen venue before? Although this is not super vital that they’ve worked there before, because it's nice to have fresh eyes & fresh ideas
  • What services do you provide? 
  • What are the T&C’s of working with you? 
  • Do you have an established network of vendors? - Be careful if they only want to work with a set list of vendors & are not open to working with some you’ve chosen or finding new vendors for you. If they are strict about who they work with, it may be because they receive commissions from that vendor & therefore this may not be in your best interests to work with them.. If it's more important for a planner to receive a commission than it is to find the right fit vendors for you, then that's a huge red flag.
  • What happens if something goes wrong on our day? There will often be something that either doesn't go exactly to plan or something runs longer than expected, or weather incidents etc. Whilst we are professional planners we aren’t God & can’t control weather, peoples behaviours, traffic etc. It’s how your planner handles these situations that matters & the ideas they come up with to troubleshoot when needed. Plus how they communicate any changes to you.

So those are your run of the mill questions, that don’t really set anyone apart, because most of their answers will be similar. If you want to really start to understand if a planner is the perfect missing piece to your wedding planning puzzle, then hit them with these questions too…

  • How do you adapt your style to fit our personalities & not just trends? This shows their ability to be flexible 
  • What is your philosophy on handling family dynamics? Can you share examples? - Even if your family are somewhat ‘normal’ everyone still has their quirks & with weddings, often the most well wishing family member will still have their own expectations. Being able to remain calm & listen to all of the different conversations coming at them, is the work of a true wedding planning angel.
  • How do you keep the day feeling natural & not over scheduled & chaotic?
  • Can you share a time when something went wrong & how did you fix it? 
  • How would you balance our budget between what is non-negotiable & what is nice to have? 
  • If you weren’t my planner what would you tell me to watch out for? 

Once you have completed your consultations with each wedding planner on your list, you should now have a gut feel of who would work well with you as a couple. Ask yourself - who best understands your vision, who would I work best with & who do I like?

Apart from your photo & video team & your Hair & Makeup team, your Wedding Planner is the person you will spend much of your day with, so it's important you actually like each other. 

Also make sure that you are not making a decision based on a price, make a decision based on an outcome & how you feel your wedding planner will make you feel in the months & weeks leading up to & on your wedding day. 

Finding the right wedding planner is one of the most important decisions you will make in your wedding planning journey, so take the time to ask the right questions & you will set yourself up for a stress-free, enjoyable wedding day.
